Here is how staff can read the information on a patient account in the present moment before making a payment, changing a plan, or telling someone what they owe. This is important to note because balances and plan details can change after a payment posts or after a plan change.
1. What’s owed (total balance and how to read it)
Purpose: To answer “How much does this account show as owed in Flywire right now?”
How to do it:
- Sign in and open My Account/My Bills for that guarantor or patient
- At the top of the account view, find Total Balance. That is the headline number for what Flywire is showing as remaining on the account before any new payment they might make in this session.
Take note that 'Total Balance' is the Flywire-facing rollup; if your organization trains staff on a separate “host” or hospital balance, staff will follow the organization's internal instructions.
2. Which bills are included (what makes up the balance)
Purpose: To answer “What charges or visits are in this balance?”
How to do it:
- Sign in and open My Account/My Bills for that guarantor or patient
- Under the Open Bills Sections / Bills Associated with this Payment Plan section, clic View Bill Details in the Actions column.
3. In the Bill Details window, staff can review all details that make up the bill such as service date, facility, Insurance, bill total, fees, insurance payments and adjustments, and patient payments and adjustments.
3. Plan status before payments or changes
Purpose: To answer “Is there a payment plan, and what is its status right now?”
How to do this:
- On My Account/My Bills, find the payment plan block , called "Your Active Plan". If there is no plan active, this block will not show.
- Here you will see active plan information—things like Monthly installments, Status, View Schedule, Pay Next Installment, Pay Full Balance, View Activity, Payment Plan Actions (Cancel, modify, pause, change the payment method, view offer terms).
- If you need plan history or inactive plans, click View Activity.
Take note: This screen shows the plan as of the last update. A payment you enter now may not appear until it finishes processing.
