Who this is for
Customer service and billing staff who need to see what payments happened, how they were funded, and whether they succeeded, and who sometimes need the full transaction record (receipt-style detail).
What you need
Your login must include the right Flywire permissions. In practice you will only see tabs you are allowed to use—for example My Bills vs Payment History vs Transaction Search may differ by role.
If a tab is missing, use your supervisor or admin guide for access.
1. Activity and history at the payer / guarantor level (main path)
When to use this
You are already on the account in Flywire (guarantor context) and want a chronological list of payments and related transactions for that person.
How to do this:
- Open the account in the Staff Experience using the Patient Search.
- In the left sidebar, select Payment History.
What you see
A table of activity with columns such as Date, Payment Method, Type, Amount, Status, and Action.
How to narrow the list
Use the filters your screen offers in the search bar at the top right of the screen—for example transaction type, status, and from / to dates—to cut down a long history before you read line by line.
If the list is empty
Flywire shows an empty state (no transactions). That usually means nothing is returned for that payer in this view, or nothing matches your filters—not necessarily that the person never paid anywhere.
2. Opening a transaction for full details (receipt view)
When to use this
You need more than the table row: tender, totals, how the payment applied, status context, and (where your permissions allow) next steps such as refund or void.
How to get there from Payment History
- Stay on Payment History
- In the Action column, choose View Transaction
3. Flywire opens the transaction detail screen (the same receipt-style layout CSR sees after taking this action)
Alternate entry: Transaction Search
- From the CSR home page, open the Transaction Search tab
- Run your search
3. On the results page, select the transaction ID (it is a link).
4. You land on the same style of transaction detail for that ID.
3. Bill-level “transactions” vs payer Payment History (know the difference!)
When to use this
You are looking at one bill and want to see postings and timestamps tied to that bill, or a simple event log for that bill—not necessarily the full payment receipt.
How to do this
1. From My Bills, open account detail for the bill (Flywire shows this as account-level detail for that bill—found by clicking the Account Link).
2. The Account Detail window appears
What you see
- Transactions with rows such as Amount posted, Total, and Create timestamp. This is bill-scoped activity: it supports “what hit this bill and when,” not a replacement for the payer-wide Payment History list.
- Events with the Event type and Create timestamp—useful for statement, plan, or workflow-related activity on that bill.
